Cancellation Policy for Larson Aeromedical Services

Purpose: To outline the process for canceling scheduled FAA medical examination appointments.

Policy:

  1. Cancellation Window:

    • Appointments may be canceled or rescheduled without charge if notice is provided at least 48 hours before the scheduled time by contacting our office. Confirmation from our office is required.

    • Cancellations within 24 hours of the appointment incur a $5 fee to cover administrative and reserved time costs.

    • No-shows (failure to attend without notice) are charged a no-show fee of $50. Payment of the no-show fee will be required before a new appointment will be accepted.

  2. Emergency Exceptions:

    • Fees may be waived for cancellations or no-shows due to documented emergencies (e.g., medical issues, flight delays, or weather-related travel disruptions), reviewed on a case-by-case basis. Please contact us as soon as practical.

  3. Process:

    • Cancel via telephone or email directly with our office.

    • Cancellations are confirmed within 1 business day via email or phone.

    • Refunds, if applicable, follow the Refund Policy below.

  4. FAA MedXPress:

    • Cancellations do not affect your FAA MedXPress submission, which remains valid for 60 days per FAA rules. Reschedule promptly to avoid expiration.

Refund Policy for Larson Aeromedical Services

Purpose: To define conditions for refunds related to FAA medical examination & consulting services.

Policy:

  1. Eligible Refunds:

    • Appointment Deposits are actually considered a scheduling fee.

    • The scheduling fee is NOT refundable. The costs cover the scheduling software fees.

    • If you believe a refund was unfairly denied, submit a written request to:
